From Excel, calls and WhatsApp to one workflow from order to dispatch

How a medium-sized engineering manufacturer moved order, purchase, production and dispatch updates into one workflow in TranZact, and cut order-to-dispatch time from 3 days to 1.

Before

The old wayExcel sheets

Millennium Instruments' day runs on four handovers: orders, material availability, production and dispatch commitments. Updates moved through a mix of Excel sheets, calls and WhatsApp, which made it hard to keep everyone aligned.

Month-end reporting became rework. Data lived in many files and chats. Teams rebuilt the same report several times and still debated the numbers.

Rejections sat on paper. QC holds and rework notes were not visible to planning, so finding the root cause took days and blocked dispatch. Rework cost showed up only after a dispatch was missed.

Purchase approvals got stuck. Vendor follow-ups ran on phone calls and depended on whoever remembered to push. At peak load, committed dates slipped, and the result was last-minute buying and frequent expediting.

None of this was a people problem. The old way had no single place where an order, its material and its status lived together.

What changed

Millennium Instruments moved to one system of record. It connects sales, purchase, production and dispatch, so every team member works off the same status.

  1. One record from order to dispatch.

Masters were cleaned once. Each order, material requirement and update now has a clear owner and a timestamp, and daily reporting pulls from the same transactions.

  2. QC holds that planning can see.

QC marks holds against lots. Planners see only cleared stock as available for production.

  3. Purchase follow-ups in one queue.

The purchase team logs each vendor's committed date and escalates exceptions early, before a date slips.

Handovers between team members became standard. Rework in reporting dropped, updates no longer depended on one person, and order to dispatch went from 3 days to 1 day.

What they use TranZact for today

As published on letstranzact.ai (October 2026), Millennium Instruments uses TranZact to:

  • Convert quotations into orders

  • Coordinate dispatch against committed dates

  • Keep QC-held lots out of production planning

  • Track vendor follow-ups in one purchase queue

Questions owners ask

Can TranZact keep QC-held stock out of production planning?

Yes. At Millennium Instruments, QC marks holds against lots in the shared workflow, and planners see only cleared stock as available for production. Before, QC holds and rework notes sat on paper that planning could not see.

Can my purchase team track vendor follow-ups in one place?

Yes. Millennium Instruments' purchase team works from one follow-up queue. They log each vendor's committed date and escalate exceptions early, instead of relying on whoever remembers to call.

Does month-end reporting still need manual consolidation?

Not at Millennium Instruments. Sales, purchase, production and dispatch sit in one system of record, so daily reporting pulls from the same transactions instead of being rebuilt from Excel files, accounting exports and WhatsApp updates.
