The right billing software for a small business depends on what you sell. A shop or trader needs a GST billing app that makes invoices and e-way bills and tracks stock. A small manufacturer needs billing linked to sales orders, stock, raw material and dispatch. That is what manufacturing AI software like TranZact does, while accounts stay in Tally.
How to do billing for a small business: pick the right type first
Most billing software looks the same in a demo. The real difference is what the invoice connects to. Start with what your business does every day.
If you buy and sell from stock (GST billing app)
Shops, traders and distributors need fast GST invoices, e-way bills and a stock count. A billing app on a phone or PC does this well and costs little.
If you also need accounts and GST returns (accounting software)
Some owners want billing, ledgers and returns in one place. Then pick accounting software with billing built in. TallyPrime and BUSY are the common names here.
If you make what you sell (manufacturing software that bills from orders and stock)
A manufacturer's invoice is the last step of a long chain. The order needs raw material, production and dispatch before anyone bills. So billing must sit in the same system as orders and stock.
What to check before you choose billing software
Run every option through this list. Ask the vendor to show each point live, not on a slide.
GST invoice: the right document for each sale. Our guide on tax invoice vs bill of supply explains which you need.
E-invoice (IRN): made from the invoice, not typed again. See a sample e-invoice format.
E-way bill from the invoice: no retyping of the same details. Compare with this e-way bill format.
Stock reduces when you bill: the stock number drops when the invoice is saved.
Users and price: the price for your real team size, not for one user.
Devices: PC, web or phone, whichever your team members use.
Link to Tally: if your accountant uses Tally, entries must reach it without double entry.
Support hours: when you can reach a person, and how fast.
Data storage: where your data is kept and how it is backed up.
Why a billing app alone falls short in a factory
A billing app is built to bill. In manufacturing, the sale is only the end of the story. When billing sits apart from everything else, these gaps show up fast.
Stock does not match: the invoice is in one app, production is in Excel. Finished-goods stock gets updated later, if at all.
Raw material is a guess: purchase buys without knowing what open orders need. That is a purchase planning gap, not a billing one.
Dispatch is a separate job: the dispatch, the invoice and the e-way bill for each shipment get handled in different places.
Payment follow-up lives on WhatsApp: nobody sees which invoices are overdue until the owner asks.
This is not your team's fault. The tools were never connected, so the owner ends up holding them together.
The patchwork vs TranZact for billing
Tally + Excel + WhatsApp | TranZact | |
|---|---|---|
Order to invoice | Retyped from WhatsApp | Quotation, order, invoice in one flow |
Stock after a sale | Checked by hand | Sales and stock on one system |
Production | Excel sheet | Multi-step BOM and production |
Payment follow-up | WhatsApp messages | Payment reminders |
Accounts | Tally | Stays in Tally, one-way sync |
How TranZact handles billing for small manufacturers
TranZact's sales flow covers enquiry, quotation, order timeline, dispatch, e-invoicing and payment. It all sits in one system, not three tools. See each step on the sales management page.
TranZact generates the e-way bill from the GST invoice, with the e-invoice (IRN) in the same flow. This is on all plans.
Stock tracking, multi-step BOM and production live in the same system as billing. The Grow plan also includes delivery and payment reminders. Customer payments get logged without anyone typing them in.
Accounts stay in Tally. Operations run in TranZact, with one-way sync and no double entry. Zoho Books sync is also available.
TranZact is built on 7 years of learning from 10,000+ manufacturers. It goes live in 2–3 weeks. Chat support runs 10:00–19:00, Monday to Saturday, with a first response within 1 hour.
Your data is stored in India, on AWS servers in Mumbai, with replication and periodic backups.
Where TranZact is not the right fit (honest limits)
There is no free plan.
The smallest plan is priced for a 4-user team, so a one-person shop pays for more than it needs.
TranZact does not replace Tally for accounts. It syncs to it.
It is built for manufacturers. A pure shop or trader is better served by a billing app.

Test billing software before you pay
Bill one real order in the trial
Make the e-way bill from it
Check the stock number dropped
Check the entry reached your accounts
Do you need a billing machine?
A billing machine or POS printer suits a shop counter, where customers pay and leave. A manufacturer bills from a computer, against orders and dispatches. So choose the software first, then the hardware.
If your orders, stock, invoices and dispatch still live in three places, see them in one. Don't be the bottleneck. Become the AI-Run Factory.
